Data retention policy

This page explains how long we keep different kinds of information and why.

Financial records

Invoices, payments, orders, credit notes, refunds, payroll and accounting ledger records are kept for at least 5 years, as required by South African tax and anti-money-laundering law (Tax Administration Act, VAT Act and FICA), and for 7 years where the Companies Act applies. We apply the longer 7-year period, counted from the end of the financial year in which they were created. After that they are deleted in line with POPIA.

Client and account information

Contact details, notes, documents and portal accounts are kept while you are a client and for as long afterwards as needed to meet our legal and accounting duties. Information that is not covered by a legal retention duty can be deleted on request.

Enquiries and form submissions

Enquiries, quote requests and other form submissions are kept for as long as needed to respond and follow up. If they relate to an invoice or order, they are kept with that financial record.

Student and school records

Student, attendance and report records are kept for as long as needed for the educational purpose they serve, and then deleted unless the law requires us to keep them longer.

Deleting your information

You can ask us to delete your personal information at any time. We verify your identity first, then delete everything we are not legally required to keep. Records covered by the financial retention period above stay until that period ends, and are then removed.

To ask for your information to be deleted, use the data deletion request form.
